The Fine Print

As with every service, we have fine print too! In the interest of continuing transparency, we want to be upfront with you about our expectations and conditions. Here are the things you need to know.

There will be a contract that all of our clients are provided and are expected to sign, alongside us. This contract will detail all of the aspects of the services that we will provide, as well as the legal requirements, expectations and any potential penalties for breaches of contract. The contract will be provided after our initial consultation if you choose to work with us and work will not start until the contract has been signed and received by us, and the booking fee has been paid. 

A booking fee of $100 will apply for all packages, and will come off the total cost. The rest of the total agreed price can be paid up front or in installments. This is completely negotiable and no transaction fees will apply if the payments need to be broken down. The booking fee guarantees your place as our client and locks in our exclusive availability on your wedding date. So the sooner payment is received, the sooner we can get started and lock everything in!

We expect clients to be communicative and collaborative to make the process smooth, fun and efficient. We promise to also be communicative and collaborative with you, because we know that this is the best way to provide essential experiences. 

Our company is inclusive and accessible for all people, no matter their gender, sexuality, race, ethnicity, abilities, age or religion. We ask that our clients respect our anti-discrimination stance and show us the same respect and care that we show to you. If we feel as though we are being disrespected or harmed, Kiva Jane Weddings reserves the right to cancel the contract. In this event, we will help you find a new wedding planner to take over your services that better suits you. If one cannot be found, or if we come to the decision that there is potential for violence and harm and will not put another wedding planner into danger, then you will be refunded 50% of what has been paid, or, if payment has not yet been made, you will be charged 50% of the total agreed cost. 

If, for any reason, we need to cancel your services for a reason not stated above, then we will help you find a new wedding planner to continue your services. Any refunds or charges will be negotiated on a case by case basis, depending on what has already been paid or any work that still needs to be paid for. Any work after the cancellation date, or follow on work from what has already been done, will be the responsibility of the new wedding planner. 

You are entitled to cancel the contract at any time. There is a 7 day cooling off period, which includes a full refund of any amount paid, or no additional fees if payment has yet to be made. If cancelled between 7 days and 1 month of service commencement, then the fee will be 10% of the total agreed price. If cancelled between 1 month after the commencement of services and 2 months before the event, then 50% of the total agreed price will be charged. If cancelled less than 2 months before the event, then you will not be entitled to a refund. The only exception is for the On the Day Coordination package, which, by necessity, has a shorter service period. In the case of this package, the 7 day cooling off period still applies. A cancellation 1 month before the event will result in a cancellation fee that is 50% of the total agreed price and a cancellation within 7 days of the event will incur 100% of the total agreed price as a cancellation fee. 

Unruly or unreasonable behaviour on the day of the event that results in harm or harassment to our staff, or significant interruption to our work, will result in an extra $250 charge from us.
